How File Upload Custom Fields Work

A File Upload custom field creates a dedicated upload area on the selected object.

For contact records, the field appears in the selected contact field group, such as General Info or Additional Info. Users can upload files from their device and then manage those files directly from the contact record. The File Upload field must be created before it can be used on a contact.


File Upload Field Settings

Configure each File Upload custom field according to the type of document it will store.

File Type

The file type setting controls which formats users can upload through the field.

Create a File Upload Custom Field

  1. Open the contact record.

  2. Review the fields in the left-side Contact Details panel.

  4. Locate the File Upload custom field.

When a contact has many fields, use the field search to search for the custom field by name.

A File Upload field will not appear on contact records until the custom field has been created for the Contact object.


Upload a File to the Contact

To upload a file:

  1. Open the contact record.

  2. Locate the File Upload custom field.

  3. Click the upload area or drag a supported file into it.

  4. Select the file from your device when prompted.

  5. Wait for the upload to finish.

  6. Confirm that the uploaded filename appears in the field.

Do not close or refresh the contact record while the file is still uploading.


View, Download, or Delete an Uploaded File

Uploaded files can be managed directly from the File Upload field.

Available controls may include:

  • Clicking the filename to open or view the file.

  • Clicking the download icon to save a copy to your device.

  • Clicking the delete icon to remove the file from the field.

  • Uploading another file when the field permits additional files.

When a file is deleted, an undo option may appear temporarily. Use the undo option immediately when a file was removed by mistake.


Replace an Existing File

The replacement process depends on how the File Upload field was configured.

For a single-file field:

  1. Open the contact record.

  2. Locate the current uploaded file.

  3. Delete the existing file when required.

  4. Upload the replacement file.

  5. Confirm that the new filename appears.

For a multiple-file field, upload the replacement and remove the outdated file after confirming the new upload succeeded. Deleting an existing file may be required before a new file can be added to a single-file field.


Recommended File Field Setup

Use separate File Upload custom fields when documents serve different purposes.

For example:

  • Signed Contract for the current signed agreement.

  • Identification File for verification documents.

  • Client Attachments for multiple supporting files.

  • Invoice Copy for a specific billing document.

Separate fields make it easier for users to identify the correct document without opening every uploaded file.


Common Issues and Fixes

The File Upload field does not appear on the contact

Confirm that the custom field was created for the Contact object. Also confirm that you are checking the same field group selected during field creation.

The file is too large

Confirm that the file is no larger than 250 MB. Reduce the file size or upload a smaller version before trying again.

The file type is not accepted

Confirm that the file uses one of the formats enabled for the custom field.

Video files are not supported by the File Upload field described in this article.

Only one file can be uploaded

The custom field may have been configured as a single-file field.

Edit the custom field and enable multiple files when the field should accept more than one document.
