Import and Re-sync Google Drive Files in a Knowledge Base

Import supported files directly from Google Drive into a Kyrios Knowledge Base, then manually re-sync imported files when their source content changes. Knowledge Base content provides AI Agents with information from documents, FAQs, and web content.

What the Google Drive Integration Does

The Google Drive integration connects an authorized Google account to Kyrios and lets you import supported files directly into a Knowledge Base. Imported files are processed with the other sources in that Knowledge Base, including:

  • Web crawler content

  • FAQs

  • Tables

  • Rich text entries

  • Other uploaded files

Google Drive files do not update automatically. Use the re-sync action to retrieve the latest version of an imported file.


Supported File Types

The Google Drive integration supports:

  • PDF files (.pdf)

  • Google Docs

  • Microsoft Word files (.doc)

  • Microsoft Word files (.docx)

Unsupported files cannot be selected for import.


Open or Create a Knowledge Base

  1. In the main navigation, select AI Agents.

  2. Select the Knowledge Base tab.

  3. Complete one of the following actions:

    • Select Create knowledge base to create a new Knowledge Base.

    • Select the pencil icon beside an existing Knowledge Base to open it.

The Knowledge Base page also displays the number of Knowledge Bases currently used and the account quota.


Import a File from Google Drive

  1. Open the Knowledge Base that should contain the file.

  2. Select File Upload or go to the Files tab.

  3. Choose Import from Google Drive.

  4. Connect and authorize a Google account when prompted.

  5. Use the Google account menu to select the connected account.

  6. Use Select directory to open the appropriate Google Drive folder.

  7. Browse the directory or use the search field to locate the file.

  8. Select one supported file.

  9. Select Import file.

Kyrios begins processing the file after it is imported.


Confirm That the File Was Processed

Open the Files tab and locate the imported file. A successfully imported file displays:

  • Processed in the Status column.

  • Google Drive in the Source column.

  • The file creation date.

  • Available actions for downloading, re-syncing, or deleting the file.

Do not use the file as a completed Knowledge Base source until its status shows Processed.


Re-sync a Google Drive File

Re-syncing retrieves the current version of the original file from Google Drive.

  1. Update and save the original file in Google Drive.

  2. Open AI Agents > Knowledge Base in Kyrios.

  3. Open the Knowledge Base containing the imported file.

  4. Select the Files tab.

  5. Locate the Google Drive file.

  6. In the Actions column, select the circular-arrow re-sync icon.

  7. Wait for the file to finish processing.

After processing completes, the Knowledge Base uses the updated content from the Google Drive file.


Available Actions for an Imported File

The Actions column can include the following controls:

  • Download: Downloads a copy of the imported file.

  • Re-sync: Retrieves the latest version from Google Drive and processes it again.

  • Delete: Removes the file from the Knowledge Base.

Deleting the file from Kyrios does not delete the original file from Google Drive.


Common Issues and Fixes

The Google Drive file does not appear

Confirm that the correct Google account and directory are selected. Use the search field to locate the file and verify that its file type is supported.

The file cannot be imported

Confirm that the file is a PDF, Google Doc, DOC, or DOCX file. Select only one supported file before choosing Import file.

The imported content is outdated

Google Drive files do not update automatically. Select the re-sync icon in the Actions column to retrieve and process the latest version.

The file is not available to the Knowledge Base yet

Check the Status column. Wait until the file displays Processed before testing or using its content.

The wrong Google account is connected

Close the import window, reconnect Google Drive, and authorize the Google account that contains the required file.

Yes. Deleting the file from the Knowledge Base removes it from Kyrios but does not delete the original file from Google Drive.
