Add Task Action: Flexible Due Dates & Rich Text

The Add Task workflow action now supports flexible due dates (days, weeks, months, years), specific due times, live due date previews, and rich text task descriptions.

Who This Is For / When to Use

Use this when creating tasks inside workflows that require:

  • Precise scheduling beyond a few days

  • Specific due times (not just dates)

  • Clear, formatted task instructions for your team

What Changed

The Add Task action now includes:

  • Flexible due date units:

    • Days

    • Weeks

    • Months

    • Years

  • Optional specific due time

  • Live preview of the final due date and time

  • Rich text editor for task descriptions (formatting is preserved)

Configure Flexible Due Dates

You can now define when a task is due using a value + time unit.

Steps

  1. In a workflow, add the Add Task action

  2. Locate the Due date section

  3. Enter a number (e.g., 2)

  4. Select a time unit:

    • Days

    • Weeks

    • Months

    • Years

  5. (Optional) Set a specific time

  6. (Optional) Enable Skip weekends

Use Live Due Date Preview

The system shows a real-time preview of when the task will be due.

  • Displays exact date and time

  • Updates instantly as you change inputs

  • Reflects weekend skipping if enabled

This ensures accuracy before saving the action.

Skip Weekends Option

Enable Skip weekends to prevent tasks from landing on Saturdays or Sundays.

  • If the due date falls on a weekend, it moves to the next weekday

  • The live preview reflects this behavior

Create Rich Text Task Descriptions

Task descriptions now support formatting.

You can:

  • Bold, italicize, or underline text

  • Add bullet points or structure

  • Include dynamic fields (e.g., {{contact.name}})

Formatting is preserved when:

  • The task is saved

  • The task is viewed in task lists

How to Set Up the Add Task Action

  1. Go to Automations β†’ Workflows

  2. Add or edit a workflow

  3. Add the Add Task action

  4. Enter:

    • Task title

    • Rich text description

  5. Assign the task to a user

  6. Configure the Due date:

    • Set value and unit

    • Add time (optional)

    • Enable Skip weekends (optional)

  7. Review the live preview

  8. Save and publish

Example Use Case

Real Estate Follow-Up Task

  • Trigger: Property tour completed

  • Action: Add Task

  • Due date: 2 weeks at 10:30 AM

  • Assigned to: Contact owner

This ensures timely follow-up with consistent scheduling.

Backward Compatibility

  • Existing workflows using day-based due dates continue to work

  • No changes are required for previously configured actions

Common Issues and Fixes

Due Date Looks Incorrect

Cause: Incorrect unit or value selected
​ Fix: Verify the number and unit (days, weeks, etc.) and check preview

Task Scheduled on Weekend

Cause: Skip weekends is disabled
​ Fix: Enable Skip weekends in the Due date settings

Formatting Not Showing

Cause: Plain text entered without formatting
​ Fix: Use the rich text editor toolbar for styling

Can I still use day-based due dates only?

Yes. Days are still supported and behave the same as before.

Can I set a specific time for tasks?

Yes. You can assign an exact due time along with the date.

Does the preview reflect the real execution time?

Yes. The preview shows what the due date would be if the workflow runs at that moment.

What happens if the due date falls on a weekend?

If Skip weekends is enabled, the task moves to the next weekday.

Is rich text supported everywhere tasks appear?

Yes. Formatting is preserved across all task views.

Do I need to update existing workflows?

No. Existing workflows continue working without changes.
