How Signature Verification Works

Encrypted Hash and Timestamp

  • When a form or survey is submitted:

    • A unique encrypted hash is generated.

    • The exact signing time is recorded.

  • This data ensures the signature cannot be altered or reused.

Signature in PDF Exports

  • When exporting a submission as a PDF:

    • The drawn signature is displayed.

    • The timestamp and encrypted hash are included for verification.

Where Signatures Are Stored

  • Signatures are saved on the contact record.

  • They appear under the custom field group assigned during setup.

  • Submission records also display the signature, timestamp, and hash.

Common Issues and Fixes

Signature Field Not Appearing

  • Confirm the field is added via Add Object Fields, not Quick Add.

  • Ensure the field object matches the form object.

Signature Not Saving

  • Verify the form was saved after adding the signature field.

  • Confirm the field is not hidden or removed from the layout.

FAQ

How do I add a signature to a form without creating a custom field first?

Can I rename the signature field?

Yes. You can rename the label and short label in the form builder (for example, “Sign Here”).

How is signature authenticity verified?

Each signature includes a timestamp and an encrypted hash that links the signature to the submission data.

Where can I view submitted signatures?

Signatures are visible in form submission records and on the contact record associated with the submission.

Can I manage multiple signatures per contact?

Yes. You can create multiple Signature custom fields and organize them using custom field groups.

The encrypted hash is a unique digital fingerprint created at submission time that proves the signature belongs to that specific form submission and has not been altered.
