Overview: Manual Payments from Contact Records

Kyrios allows you to manage and process payments directly from a contact record using the Payments feature.

From the contact record, you can:

  • Add a card on file for future use

  • Charge a contact immediately using a saved or new card

  • Use saved cards regardless of the original payment provider

This enables fast, flexible payment collection without leaving the contact record.

What Changed From Previous Behavior

Previously, manual charges were limited to the default payment provider.

Now, Kyrios allows you to:

  • Save multiple cards on file for a contact

  • Charge any saved card, regardless of the payment provider

  • Add new cards at the time of charging and save them for future use

Each card is stored securely and can be reused for future transactions.

How to Access Manual Payment Options

  1. Open the contact record you want to charge.

  2. Locate the money icon in the top-right corner of the contact record.

  3. Click the money icon.

You will see two options:

  • Add Card on File

  • Charge Now

Add Card on File

The Add Card on File option lets you securely store a contact’s card for future payments.

Steps to Add a Card on File

  1. Open the contact record.

  2. Click the money icon.

  3. Select Add Card on File.

  4. Enter the card details.

  5. Save the card.

What Happens After Saving

  • The card is stored securely in the contact record.

  • The card can be selected for future manual charges.

  • The card can be used regardless of the payment provider.

Charge Now

The Charge Now option lets you immediately process a payment for a contact.

Steps to Charge a Contact

  1. Open the contact record.

  2. Click the money icon.

  3. Select Charge Now.

  4. Choose one of the following:

    • Select an existing saved card, or

    • Add a new card and optionally save it for future use

  5. Enter the charge amount.

  6. Click Charge Now to complete the transaction.

What Happens After Charging

  • The payment is processed immediately.

  • The transaction appears in the contact’s payment history.

  • If a new card was saved, it becomes available for future charges.

Common Issues and Fixes

Payment Fails During Charge

  • Verify the card details are correct.

  • Confirm the card has not expired.

  • Ensure the contact’s payment provider is active.

Saved Card Does Not Appear

  • Refresh the contact record.

  • Confirm the card was successfully saved.

  • Check user permissions for payments.

Incorrect Charge Amount

  • Review the amount before confirming the charge.

  • Use transaction history to verify completed payments.

Best Practices

  • Regularly confirm card details with customers to reduce failed payments.
