Estimates in Kyrios allow you to create, send, track, and convert client estimates into invoices with acceptance or rejection tracking.

Who This Is For / When to Use

Use Estimates if you need to:

  • Send pricing to a client before invoicing

  • Collect client approval or rejection with notes

  • Convert an approved estimate directly into an invoice

  • Track estimate status and pipeline value

What Are Estimates in Kyrios

Estimates are pre-invoice documents sent to clients for approval.

Each estimate can be:

  • Sent via email or SMS

  • Accepted or rejected by the client

  • Manually marked as accepted or rejected

  • Converted into an invoice once approved

Estimates are part of the Kyrios Payments system.

How to Access Estimates

To access Estimates:

  1. Go to your account

  2. Select Payments

  3. Click Invoices and Estimates

  4. Select Estimates

This opens the Estimates dashboard.

How to Create an Estimate

To create a new estimate:

  1. Click New

  2. Enter the following details:

    • Business information

    • Customer information

    • Estimate number

    • Expiry date

  3. Add products or line items

  4. Review totals

  5. Click Send

The estimate is saved and sent to the client.

Sending an Estimate to a Client

Estimates can be sent directly from Kyrios.

When sending an estimate:

  • Choose email or SMS delivery

  • The client receives a secure estimate link

  • No login is required for the client to respond

Once sent, the estimate status updates to Sent.

Client Acceptance or Rejection

Clients can respond directly from the estimate link.

If the client accepts

  • The estimate is marked as Accepted

  • Acceptance is recorded automatically

If the client rejects

  • The client can add notes explaining the rejection

  • The estimate is marked as Declined

Manually Marking an Estimate Status

If a client confirms verbally:

  • You can manually mark the estimate as Accepted or Declined

  • This updates the estimate status without client interaction

Manual updates are useful for phone approvals.

Converting an Estimate to an Invoice

Approved estimates can be converted into invoices.

To convert an estimate:

  1. Open the Accepted estimate or

  2. Click the estimate from the dashboard

  3. Select Create Invoice

The invoice is generated using the estimate details.

Tracking Estimate Status and Value

The Estimates dashboard allows full visibility.

You can track:

  • Estimate statuses:

    • Draft

    • Sent

    • Accepted

    • Declined

    • Invoiced

  • Total value of estimates in the pipeline

  • Notes added to estimates

  • Estimate activity from the dashboard cards

Customizing Estimates

You can customize estimates by:

  • Adding company branding

  • Adjusting terms and conditions

  • Managing estimate settings from Payments settings

Customization applies to all newly created estimates.

No. Only Accepted estimates can be converted into invoices.

Yes. You can manually mark an estimate as accepted or declined if approval was given outside Kyrios.

Where can I see all estimate statuses?

All estimate statuses are visible in the Estimates dashboard under Payments.
