Estimate Templates in Workflows

Kyrios now supports estimate templates and estimate-based automation inside workflows, allowing accounts to create, reuse, and automatically send estimates based on estimate events.

Who This Is For / When to Use

This feature is for accounts that send estimates regularly and want to automate estimate delivery, follow-ups, or downstream actions based on estimate status.

Use this when you need:

  • Reusable estimate layouts

  • Automated estimate sending

  • Workflow logic based on estimate activity

Estimate Templates Overview

Estimate templates allow you to create standardized estimate layouts that can be reused or cloned.

What Estimate Templates Support

  • Reusable estimate structure and line items

  • Cloning for faster setup

  • Workflow-based sending

Each template can be selected manually or referenced inside workflows.

How to Create an Estimate Template

Steps

  1. Go to Payments > Invoices & Estimates

  2. Open the Templates tab

3. Click New Estimate Template

4. Enter the estimate details

5. Save the template

Cloning an Existing Template

  1. Select an existing estimate template

  2. Click Clone

  3. Modify and save the new version

Each cloned template functions independently.

Estimates Trigger in Workflows

Kyrios includes a dedicated Estimates workflow trigger.

What the Estimates Trigger Detects

  • Estimate creation

  • Estimate status changes

  • Estimate-related workflow entry

This trigger allows workflows to start automatically when an estimate event occurs.

Estimate Workflow Filters

When using the Estimates trigger, filters can be applied to control which estimates enter the workflow.

Available Filters

  • Template – trigger only for a specific estimate template

  • Value – filter by estimate amount

  • Status – filter by estimate status

Filters are evaluated before workflow actions run.

Send Estimate Workflow Action

Workflows now include a Send Estimate action.

What the Send Estimate Action Does

  • Sends an estimate automatically

  • Uses a selected estimate template

  • Sends from a selected user

This action can be combined with delays, conditions, or additional workflow steps.

Example Automation Use Cases

Automated Estimate Sending

  • Trigger: Estimate created

  • Action: Send estimate automatically to the contact

Status-Based Follow-Up

  • Trigger: Estimate status changes

  • Filter: Status equals “Accepted”

  • Action: Trigger invoice or contract workflow

Value-Based Routing

  • Trigger: Estimate created

  • Filter: Estimate value above threshold

  • Action: Notify internal user or route workflow

Why This Feature Exists

Estimate workflows were added to ensure automation parity with invoicing and contracts.

This enables:

  • Automated estimate delivery

  • Automated invoice or contract workflows based on estimate status

  • Reduced manual sending and follow-up work

Common Issues and Fixes

Estimate Is Not Sending From Workflow

  • Confirm the workflow includes the Send Estimate action

  • Verify the selected template still exists

  • Confirm the workflow is published

Workflow Does Not Trigger

  • Ensure the Estimates trigger is selected

  • Check that filters match the estimate’s template, value, or status

Yes. Any saved estimate template can be selected in multiple workflows.

Can workflows trigger when an estimate is accepted?

Yes. Use the Estimates trigger with a Status filter set to the accepted state.

Can estimates be sent automatically without manual action?
