How to Manage Users in the Client Portal

This guide explains how to invite users, generate Magic Links, send login emails, and manage access for users in the Client Portal.

What Is the Client Portal

The Client Portal is a secure login area where users can:

  • Access courses and communities

  • View affiliate information

  • Log in using email/password, Magic Links, or login emails

Your account has a unique Client Portal URL.


Client Portal Dashboard Overview

The Client Portal dashboard shows:

  • Client Portal URL

  • Total invited users

  • Total active users

  • Actions for access management

Available actions:

  • Generate Magic Link

  • Invite to Client Portal

  • Send Login Email


Invited Users vs Users

  • Invited: Users who have received an invitation but have not joined

  • Users: Contacts who have successfully accessed the Client Portal

These counts update automatically as users join.


How to Invite Users to the Client Portal

Step 1: Open Invite Modal

  1. Go to the Client Portal Dashboard.

  2. Click Invite.


Step 2: Select or Enter Contact

  1. Choose an existing contact or

  2. Enter a new email address.

  3. Click Send Invite.

Invitations are sent from your default domain.


How to Send Login Emails

Login emails include a one-click login button for the Client Portal.

Steps

  1. From the Client Portal Dashboard, click Send Login Email.

  2. Select one or more contacts.

  3. Click Send.

Users receive an email with instant access.


How Magic Links Work

Magic Links are secure, one-time login URLs that:

  • Do not require passwords

  • Log users in automatically

  • Can link to specific sections (courses, communities, affiliates)

Magic Links are created at the contact level.


Generate a Magic Link (Contact-Based)

Steps

  1. From the Client Portal Dashboard, click Generate Magic Link.

  2. Select Contact.

  3. Choose a contact.

  4. Click Generate.


Generate a Magic Link (Specific Section)

You can generate Magic Links that open a specific area of the portal.

Available sections:

  • Courses

  • Communities

  • Affiliates

Steps

  1. Select Custom Menu.

  2. Choose the app section.

  3. Click Generate.


Copy and Share Magic Links

Once generated:

  • Copy the link directly

  • Paste into emails, SMS, or messages

  • Share externally if needed


Use Magic Links in Workflows (Important)

Magic Links can be used in:

  • Workflows

  • Email templates

  • SMS actions

  • Smart list conversations

To ensure the Login URL (Magic Link) field appears:

  • Use a Client Portal–related trigger

  • Example: Offer Access Granted


Magic Link Custom Values in Emails

You can insert Magic Links into:

  • Workflow emails

  • Marketing email templates

  • Contact emails

Path examples:

  • Workflows: Automation → Workflows → Email Action

  • Emails: Marketing → Emails → Templates

  • Contacts: Contacts → Contact → Email

Select Login URL (Magic Link) from Client Portal contact fields.


Magic Link Generation Confirmation

After generation, the system confirms success and displays the link.


Password Login and Reset Flow

Users can also log in using:

  • Email + password

  • Google sign-in

  • Secure code login

If a user forgets their password:

  1. Click Forgot Password on the login screen.

  2. Enter email.

  3. Reset via email link.


Managing User Access from Contacts

From an individual contact record, you can:

  • Assign courses

  • Update community access

  • Send login emails

  • Generate Magic Links

This keeps access management centralized.

Why doesn’t the Magic Link field appear in my SMS workflow?
