Collect Payments for Recurring Appointments

This article explains how to enable recurring appointments and configure payment collection options for recurring bookings in Kyrios.

Who This Is For / When to Use

This article is for account admins and users who schedule recurring appointments and need to collect payments either upfront or per series.

Use this when you need to:

  • Set up recurring appointments (daily, weekly, or monthly)

  • Collect payment for recurring bookings

  • Choose how and when payments are charged

  • Understand limitations of recurring payments


What Are Recurring Appointments

Recurring appointments allow a single booking to repeat automatically on a schedule such as:

  • Daily

  • Weekly

  • Monthly

This removes the need to create each appointment manually and ensures consistent scheduling.


Supported Use Cases

Recurring appointments are commonly used for:

  • Weekly client sessions

  • Monthly check-ins

  • Ongoing consulting or coaching

  • Internal recurring meetings


Step 1: Access Calendar Settings

  1. Go to Settings β†’ Calendars.

  2. Click Create Calendar
    ​or

  3. Select an existing calendar and click the edit (pencil) icon.


Step 2: Choose a Calendar Type

  1. Select a calendar type.

  2. If you choose Round Robin Booking, note the following:

    • All calendar types support recurring appointments

    • Round Robin calendars can only have one assigned user


Step 3: Enable Recurring Appointments

  1. Open the Availability tab.

  2. Toggle Recurring Appointments on.

  3. Configure:

    • Frequency (daily, weekly, monthly)

    • Number of repetitions

    • Scheduling behavior for unavailable slots


Step 4: Configure Payment Collection for Recurring Appointments

  1. Open the Forms & Payments tab.

  2. Enable Accept Payments.

  3. Choose one of the recurring payment options:

    • Charge for First Appointment Only

    • Charge for All Appointments Upfront

  4. Click Save.


Payment Options Explained

Charge for the First Appointment Only

  • Payment is collected only for the first appointment

  • All remaining appointments require manual payment collection

Charge for All Appointments Upfront

  • Full payment for the entire series is collected at booking

  • Total amount may vary depending on how many sessions are booked based on availability

Important:
Partial payments are not supported for recurring appointments.


Recurring Appointment Availability Rules

Maximum Repetitions

  • A recurring appointment can repeat up to 24 times


Handling Unavailable Slots

If a slot is unavailable, choose one of the following behaviors:

  • Continue Booking
    Allows double-booking

  • Skip Booking Unavailable Slots
    Only books available occurrences

  • Book Next Available Slot
    Books the next available time
    (System checks up to 3 future slots)


Booking and Calendar View

When booking a recurring appointment:

  • The booking page shows:

    • Repeat frequency

    • Number of occurrences

    • Total payment amount

  • Each occurrence appears as an individual appointment in the calendar


Customization Rules for Recurring Appointments

Standard Slots Only

  • Recurring appointments can only use standard slots

  • Custom time slots are not supported


Meeting Location Behavior

  • If using Zoom or Google Meet:

    • Each recurring appointment generates a unique meeting link


Workflow Limitations

Existing workflow triggers do not automatically apply to recurring appointments.

To support recurring events, update workflows using:

  • Event Type: Normal

  • Event Type: Recurring

  • Event Type: Any


Common Issues and Fixes

Cannot Collect Partial Payments

Cause
Partial payments are not supported for recurring appointments.

Fix
Choose either first-appointment-only or full upfront payment.


Recurring Appointment Missing Some Occurrences

Cause
Unavailable slots combined with skip or next-available-slot rules.

Fix
Review availability rules and repetition settings in the Availability tab.


FAQ

Can payments be collected for recurring appointments?

Yes. You can collect payment for either the first appointment only or all appointments upfront.


Are partial payments supported for recurring appointments?

No. Partial payments are not currently supported.


Can recurring appointments be scheduled for custom time slots?

No. Only standard time slots are supported.


Can recurring appointments be bulk updated or canceled?

No. Recurring appointments cannot be bulk edited, rescheduled, or canceled.


Can a client reschedule just one occurrence?

No. Individual changes must be handled as separate appointments.


Do recurring appointments sync with external calendars?

Yes. Each occurrence syncs as a separate event if calendar sync is enabled.


Can recurring appointments be used with all calendar types?

Yes. All calendar types support recurring appointments, but Round Robin calendars allow only one assigned user.
