Activity Tracking of Documents

Activity Tracking lets you view the full lifecycle of a document sent, viewed, edited, accepted, and completed directly from the Documents & Contracts dashboard.

Who This Is For / When to Use

Use Activity Tracking if you want to:

  • Quickly see who has viewed, signed, or accepted a document.

  • Understand what action is pending without opening the document.

  • Audit document activity for follow-ups or closure.

What Activity Tracking Shows

Activity Tracking provides visibility into:

  • When a document was sent.

  • When it was viewed and by whom.

  • When it was edited.

  • When it was accepted or completed.

  • Which contacts still need to take action.

All activity is displayed directly from the Documents & Contracts list.

Viewing Activity Status from the Documents List

You can see document activity at a glance without opening the document.

Steps

  1. Go to Payments > Documents & Contracts.

  2. Locate the document you want to review.

  3. Look at the customer icons in the document row.

  4. Hover over the icons to view:

    • Last viewed time

    • Signer or CC role

    • Current status (Viewed, Signed, Accepted)

Viewing Full Document History

The full activity log shows every action taken on a document.

Steps

  1. In Documents & Contracts, find the document.

  2. Click the three-dot menu on the right side of the document row.

  3. Select View History.

Understanding the Document History Panel

The history panel opens on the right side of the screen and displays a chronological log of actions.

You can see:

  • Who sent the document and when.

  • Each time the document was viewed.

  • When it was edited.

  • When it was accepted by participants.

  • When it reached completed status.

Common Use Cases

  • Identify which signer is delaying completion.

  • Follow up with contacts who viewed but did not sign.

  • Confirm acceptance without opening the document.

  • Maintain an audit trail for compliance or internal review.

Common Issues and Fixes

Last Action Time Is Not Visible

  • Activity tracking is available for documents created after this feature was released.

  • Older documents may not show historical timestamps.

No Activity Appears

  • Confirm the document was sent.

  • Verify recipients have opened the document link.

What actions are tracked in document history?

Tracked actions include sent, viewed, edited, accepted, and completed events.

Can I see who still needs to sign or accept?

Yes. Hovering over customer icons shows which contacts are pending action and their role.

Do I need to open the document to check status?

No. Status and activity are visible directly from the Documents & Contracts list and history panel.

Is activity tracking available for older documents?

No. Last action timestamps are only available for documents created after the feature was enabled.
