Add Business Hours to Invoice Reminders

You can control when invoice reminders are sent by setting business hours and choosing whether reminders follow your business time zone or the customer’s time zone.

Who This Is For / When to Use

This feature is for users who send invoice reminders and want them delivered during appropriate working hours instead of midnight.

Use this when reminder timing affects customer experience, response rates, or internal operations.

What’s New

  • Invoice reminders no longer send automatically at 12:00 AM.

  • You can define business hours for reminder delivery.

  • You can choose the time zone used for sending reminders.

  • Settings apply automatically to all future invoices.

Where to Find Invoice Reminder Settings

  1. Go to Payments.

  2. Click Invoices & Estimates.

  3. Select Settings.

  4. Open Reminder Settings from the left menu.

This screen controls all invoice reminder behavior.

How to Add Business Hours to Invoice Reminders

  1. In Reminder Settings, enable an existing reminder or create a new one.

  2. Scroll to the Business Hours section.

  3. Set:

    • Start time

    • End time

  4. Select a Preferred Timezone:

    • Business Timezone

    • Contact Timezone

  5. Save the reminder.

Once enabled, reminders are only sent within the defined time window.

Time Zone Behavior Explained

  • Business Timezone (default):
    Reminders are sent based on your account’s time zone.

  • Contact Timezone:
    Reminders are sent based on the customer’s local time zone.

This setting applies per reminder.

How Reminders Apply to Invoices

  • Business hours and time zone settings apply to all invoices sent after the reminder is enabled.

  • Existing invoices are not retroactively updated.

  • Multiple reminders can each have their own timing rules.

Important Behavior to Know

  • If a reminder is enabled, Kyrios waits until the next valid business hour window to send it.

  • Reminders will not send outside the defined hours, even if overdue.

  • Each reminder can have its own frequency, hours, and time zone preference.

FAQ

Why were invoice reminders previously sent at 12:00 AM?

Earlier behavior sent reminders at midnight by default. Business hours now give you control over timing.

Do business hours affect past invoices?

No. Business hours apply only to invoices created or sent after the reminder is enabled.

Can different reminders have different business hours?

Yes. Each reminder can be configured independently.

What happens if a reminder is due outside business hours?

The reminder is queued and sent during the next available business hour window.

Which time zone is used by default?

Business Timezone is selected by default unless changed.
