Using the Kyrios Mobile App: Invoicing

Use the Kyrios mobile app to create, send, manage, and collect payments for one-time and recurring invoices directly from your phone or tablet.

Who This Is For / When to Use

This article is for Kyrios account admins and users who need to manage invoices, payments, and receipts while away from the desktop app.


Accessing Invoices in the Mobile App

You can manage invoices from the dedicated Invoices section in the mobile app.

  1. Open the mobile app.

  2. Tap the menu icon.

  3. Select Invoices.


Invoice Dashboard Overview

The Invoice Dashboard shows high-level financial performance and quick access to invoices.

You can view:

  • Total earnings received

  • Earnings due or overdue

  • Tabs for Invoices, Templates, and Recurring invoices


Creating a New Invoice

You can create either a one-time invoice or a recurring invoice.

  1. Tap the + button in the bottom-right corner.

  2. Choose One-Time Invoice or Recurring Invoice.


Step 1: Add Invoice Details

Enter the basic invoice information.

You can set:

  • Customer

  • Issue date

  • Due date

  • Invoice number

For recurring invoices, you will also set the billing frequency.


Step 2: Add Items from Catalog or Custom Items

You can add products from your catalog or create custom line items.

  1. Choose Keypad for custom items.

  2. Choose Catalog to select existing products.


Selecting Products with Variants and Add-Ons

If a product includes variants or add-ons, select them before adding the item.

You can:

  • Choose variants

  • Add optional add-ons

  • Set quantity and price


Applying Taxes to Items

Taxes can be applied automatically or manually depending on your settings.

  • Select one or more taxes per item

  • Automatic Taxes must be enabled in payment settings


Automatic Taxes on Mobile

Automatic Taxes calculate tax based on customer location and configured tax rules.

To enable:

  1. Open Settings.

  2. Go to Payment Settings.

  3. Toggle Automatic Taxes on.


Selecting Tax Categories

When Automatic Taxes are enabled, you can assign tax categories to products.

  1. Search for a tax category.

  2. Select the appropriate category for the product or service.


Step 3: Add Terms and Notes

You can define payment terms and late fee conditions.

  • Enter custom terms

  • Apply late payment penalties if applicable


Step 4: Review the Invoice

Review all invoice details before sending.

You can:

  • Verify items and totals

  • Confirm taxes

  • Check dates and invoice number


Adding Discounts

Discounts can be applied before sending the invoice.

  1. Tap Add Discount.

  2. Enter the discount amount or percentage.


Sending a One-Time Invoice

Choose how the invoice is delivered to the customer.

You can send via:

  • Email

  • Text message


Invoice Preview and Customer View

Customers receive a professional invoice with itemized charges and taxes.

You can preview the final invoice layout before sending.


Creating a Recurring Invoice

Recurring invoices allow scheduled billing.

  1. Select Recurring Invoice.

  2. Add items and customer details.

  3. Set billing frequency.


Setting Recurring Frequency

Choose how often the invoice repeats.

Options include:

  • Weekly

  • Monthly

  • Yearly

You can also select specific days.


Enabling Auto-Payment for Recurring Invoices

Auto-Payment automatically charges the customer on each billing cycle.

  1. Toggle Enable auto-payment.

  2. Select a payment method.


Selecting Saved or Customer Cards

You can charge a saved card or a customer-provided card.

  • Saved Card: Card already on file

  • Customer Card: Card collected via checkout or tap-to-pay


Managing Payment Devices

Kyrios mobile supports payment terminals for in-person payments.

  1. Open Settings.

  2. Tap Payment devices.


Supported Stripe Payment Terminals

You can connect supported Stripe readers for mobile payments.

Supported devices include:

  • Stripe M2 Reader

  • BBPOS WisePOS E

  • Stripe S700


Paying via Payment Instruments

When collecting a payment, choose a connected payment instrument.

  1. Select Pay via Instruments.

  2. Choose the device.

  3. Complete the payment.


Viewing Invoices and Downloading Receipts

You can view invoices and download receipts for point-of-sale transactions.

Receipts can be shared via:

  • Email

  • Text


Enabling Automatic Sales Receipts (Web Setup Required)

Automatic receipts must be enabled in the web app.

  1. Go to Payments > Settings.

  2. Enable Automatic Sales Receipts.

  3. Customize receipt details.


Common Issues and Fixes

Invoice not charging automatically

  • Confirm Auto-Payment is enabled

  • Verify a valid payment method is selected

Taxes not applied

  • Ensure Automatic Taxes are enabled

  • Confirm products are linked to tax categories

Payment device not appearing

  • Confirm the reader and device are on the same Wi-Fi network

  • Keep the app open during updates


FAQ

Can I create recurring invoices from the mobile app?

Yes. When creating a new invoice, choose Recurring Invoice and set the billing frequency.

How do I apply partial quantities?

Enter quantities with up to two decimal places when adding an item.

What payment methods can I record?

You can record payments using saved cards, tap-to-pay, cash, or manual entry.

Can I convert a POS transaction into an invoice?

Yes. During checkout, select Convert to Invoice and the invoice will auto-fill.

Can I change the payment method after enabling Auto-Payment?

Yes. You can update the payment method before sending the invoice.

What happens if a payment fails?

You must follow up with the customer to update their payment information.

How do setup fees work with recurring invoices?

Setup fees apply only to the first invoice. Future invoices include only recurring charges.

How do I know if a customer viewed the invoice?

Invoice status indicators show whether an invoice is sent, viewed, or paid.
