What Is Subscription Management in the Client Portal
The Subscription Management feature provides a centralized billing area inside the
Client Portal where users can:
View active and canceled subscriptions
Cancel subscriptions themselves
Access invoices and transaction history
Manage saved payment cards
All actions take effect immediately.
How to Access Subscription Management
Step 1: Open the Client Portal
Users can access the Client Portal in either of the following ways:
Log in directly to the Client Portal
Go to Sites > Client Portal > Dashboard and open the portal URL
Step 2: Open Billing & Subscriptions
Click the profile icon in the top-right corner
Select Manage your account
Open Billing & Subscription
Manage Subscriptions
View Subscriptions
The Subscriptions tab shows:
Active subscriptions
Canceled subscriptions
Subscription source and status
Subscriptions are displayed in a single consolidated list.
Cancel a Subscription
Select the subscription
Click Cancel
Confirm the cancellation
What Happens After Cancellation
The subscription is canceled immediately
Access to associated courses or communities is revoked instantly
Future billing stops
Filter Subscriptions
Users can filter subscriptions by:
Source
Status
Date range
Filtering helps users quickly locate specific subscriptions or transactions.
Manage Invoices and Transactions
View Invoices
Open the Invoices tab
View past and current invoices
Invoices include billing details, payment status, and transaction history.
Download Invoices
Click any invoice to download it
Invoices can be saved for accounting or record-keeping purposes
Manage Payment Cards
View Saved Cards
Users can see all saved cards used for subscriptions in one place.
Delete a Card
Select the card
Click Delete
If the card is linked to an active subscription, the system displays a warning before deletion.
Update Card Details
Users can update card details using a secure Payment Link.
This ensures future payments continue without interruption.
Admin Control: Subscription Management Permissions
Admins can control whether users can access Subscription Management.
If needed, access can be revoked through app permissions to prevent users from viewing or managing billing information.
Common Issues and Fixes
Access Revoked After Cancellation
This is expected behavior
Course and community access ends immediately upon cancellation
Cannot Delete a Card
Confirm the card is not linked to an active subscription
Add a replacement card if required
Subscription Not Visible
Check filters
Confirm the subscription was created under the same account

How do I cancel a subscription?
Open Billing & Subscription, select the subscription, click Cancel, and confirm. Cancellation is immediate.
Can I view past invoices?
Yes. All past and current invoices are available in the Invoices tab and can be downloaded.
Can I filter subscriptions?
Yes. You can filter by source, status, or date range.
What happens when I cancel a course or community subscription?
Access to the course or community is revoked immediately, and billing stops.
What happens if I delete a card used for an active subscription?
You will be prompted to add a new payment method before deleting the card.
How do I update my card details?
Use the secure Payment Link in Subscription Management to update card information.
Does the system send an email when a user cancels?
No automatic email is sent by default. Use a Workflow triggered by Subscription Canceled to send confirmation or exit survey emails.
