How to Customize the Membership Welcome Email

This article explains how to customize the Membership welcome email using either Membership Email Settings or an Automation Workflow.

Who This Is For / When to Use

Use this when you want to control how login credentials and access information are sent to members after they complete a Membership offer checkout.

Overview: Two Ways to Send the Welcome Email

Kyrios supports two mutually exclusive methods for sending Membership welcome emails:

  1. System-generated email using Membership Email Settings

  2. Custom email sent via an Automation Workflow

⚠️ Only one method should be active at a time.

Option 1: System-Generated Welcome Email (Membership Settings)

Use this option if you want a simple automated email triggered immediately after checkout.

Step 1: Open Membership Email Settings

Navigate to Memberships > Courses > Settings, then click Email Settings.

Step 2: Enable the Welcome Email

Under the Courses tab:

  • Toggle Send Welcome Email ON

This sends an automated email when a member completes an Offer checkout.

Step 3: Select an Email Template

Click Default Template to open the template selector.

  • Choose an existing custom template

  • Or keep the Default Template

Important Notes

  • The Default Template cannot be edited or previewed

  • To customize content, you must create your own email template using the Email Builder

  • Templates can include custom values

Step 4: Save Changes

Click Save to apply the email settings.

Once enabled, this email is sent automatically after checkout.

Option 2: Custom Welcome Email Using a Workflow

Use this option if you want full control over content, branding, timing, or logic.

Step 1: Open Workflows

Navigate to Automations > Workflows, then click Create Workflow or edit an existing one.

Step 2: Add the New Signup Trigger

  1. Add a trigger

  2. Select New Signup

  3. (Optional) Filter by Offer = Memberships

Step 3: Add a Send Email Action

Click Add Action, then select Send Email.

Step 4: Configure the Email Content

In the email action:

  • Enter From Name

  • Enter From Email

  • Enter Subject

  • Select a template or write custom content

Step 5: Insert Membership Custom Values

When editing the email body:

  1. Open Custom Values

  2. Scroll to Course

  3. Select values such as:

    • Email

    • Login URL (Magic Link)

These values dynamically insert the member’s login details.

Step 6: Publish the Workflow

Save and Publish the workflow to activate it.

Required: Disable System Email When Using a Workflow

If you use Option 2, you must disable the system email.

Why:
If both are enabled, members will receive two welcome emails.

To disable:

  • Go to Memberships > Courses > Settings > Email Settings

  • Toggle Send Welcome Email OFF

Common Issues and Fixes

Members Receive Two Welcome Emails

Cause: Both system email and workflow email are enabled
Fix: Disable Send Welcome Email in Membership settings

Login Credentials Not Showing in Email

Cause: Custom values not inserted
Fix: Use Course custom values (Email, Login URL)

Cannot Edit the Default Template

Cause: Default Template is locked
Fix: Create and select a custom email template

What are Membership custom values?

They are dynamic values tied to the member’s Membership access, such as email and login link.

Can I use both methods at the same time?

Technically yes, but not recommended. It causes duplicate emails.

What happens if I leave the Default Template?

The system sends the default welcome email, but it cannot be previewed or customized.

Which method should I use?

  • Use Option 1 for quick setup

  • Use Option 2 for branding, logic, or advanced customization
