Workflow Action: Send Email

The Send Email workflow action sends automated, customizable emails to contacts using quick compose, AI-generated content, or reusable email templates.

Who This Is For / When to Use

Use this action if you want to:

  • Send automated follow-up emails to leads or customers

  • Deliver multi-step email sequences inside a workflow

  • Use AI or templates to speed up email creation

  • Control timing with wait steps between emails

Prerequisites

  • An active workflow

  • Email configuration completed for the location

  • A trigger (optional if contacts are added manually)

Step 1: Add the Send Email Action to a Workflow

  1. Go to Automation

  2. Open Workflows

  3. Create a new workflow or edit an existing one

  4. Click the + icon in the workflow canvas

  5. Select Send Email

Step 2: Configure Required Email Fields

The following fields are required unless noted:

If From Name and From Email are left blank, Kyrios uses default values.

Step 3: (Optional) Add CC and BCC Recipients

  1. Click Cc or Bcc

  2. Enter one or more email addresses

  3. Separate multiple emails with commas

Important behavior:

  • CC/BCC recipients do not appear in email statistics

  • Test emails do not send to CC/BCC addresses

Step 4: Choose How to Create the Email

Under Create Email, select one option:

Option A: Quick Compose

Write the email directly in the editor.

Option B: Write Email with AI

  1. Click Write with AI

  2. Select a tone (optional)

  3. Describe the purpose of the email

  4. Click Generate Email

  5. Review and click Use Email

AI notes:

  • Subject line is optional

  • Generated content can be refined with follow-up prompts

  • {{message.body}} always inserts the full email body

Step 5: Use the Text-Wrap Tool (Recommended)

After pasting or writing content:

  1. Click the Text Wrap icon

  2. This preserves line breaks and formatting

This prevents layout issues in email clients like Outlook mobile.

Step 6: Send Email Using a Template

  1. Select Select Existing Template

  2. Choose a template from the list

  3. Click Browse Template Library if needed

Step 7: Edit and Save Templates Inside the Workflow

When editing a template in a workflow:

  1. Click Edit on the template

  2. Make changes in the drag-and-drop editor

  3. Click Save as New Template

  4. Enter a new template name and confirm

This ensures the original template remains unchanged.

Step 8: Add Wait Steps Between Emails (Recommended)

To send multiple emails:

  1. Add a Wait step between Send Email actions

  2. Choose minutes, hours, or days

This prevents emails from sending too close together.

Step 9: Save and Publish the Workflow

  1. Click Save Action

  2. Switch the workflow from Draft to Publish

Template Behavior in Workflows

  • Editing a template inside a workflow affects only that workflow

  • Template “Updated At” dates match the Templates section

  • Global template updates must be synced from Email Templates

  • Syncing replaces the entire email and applies only to new email actions

Common Issues and Fixes

Email Formatting Looks Broken

  • Use the Text Wrap tool after pasting content

CC/BCC Not Showing in Stats

  • This is expected behavior; CC/BCC is excluded from analytics

Template Changes Affected the Wrong Workflow

  • Always use Save as New Template inside workflows
