How to Move or Remove Contacts from Workflow Steps

This article explains how to move contacts to the next step or remove contacts entirely from a Kyrios workflow using either the workflow builder or the Enrollment History tab.

Who This Is For / When to Use

This article is for Kyrios users managing active workflows who need to correct enrollments, remove contacts added by mistake, or advance contacts that should not remain waiting in a step.

Use this when contacts are stuck in a wait step, enrolled incorrectly, or need to be manually advanced or removed.

How Contact Movement and Removal Works in Workflows

Kyrios allows contacts to be managed at two levels: directly from an individual workflow step or from the Enrollment History view.

Actions taken from a workflow step affect all contacts currently in that step, while actions taken from Enrollment History apply to individual contacts only.

Step 1: Open the Workflow

Access the workflow that contains the contacts you want to manage.

Steps

  1. Go to Automation → Workflows.

  2. Locate and open the workflow.

  3. Select the Builder tab.

Option 1: Move or Remove Contacts from a Workflow Step

Managing contacts from a workflow step applies the selected action to every contact currently waiting in that step.

How to Access Contacts in a Step

If a workflow step contains contacts, a user icon appears at the top of that step.

Steps

  1. In the workflow builder, locate the step containing contacts.

  2. Click the user icon above the step.

  3. Review the list of contacts currently in that step.

Available Actions

  • Trash Can icon: Removes all contacts in that step from the workflow entirely.

  • Running Man icon: Moves all contacts in that step to the next step in the workflow.

⚠️ Important: These actions affect every contact in that step and cannot be undone.

Option 2: Move or Remove a Single Contact from Enrollment History

The Enrollment History tab allows precise control over individual contacts without affecting others.

Steps

  1. Open the workflow.

  2. Click the Enrollment History tab.

  3. Locate the contact in the list.

  4. Use the action icons next to the contact:

    • Remove Contact icon: Removes the contact from the workflow.

    • Move to Next Step icon: Advances the contact to the next step.

What Happens After a Contact Is Moved or Removed

Once an action is applied, the workflow updates immediately.

  • Removed contacts exit the workflow completely.

  • Moved contacts continue execution from the next step.

  • Actions cannot be undone.

If needed, removed contacts must be re-enrolled manually.

Common Issues and Fixes

I Only Want to Remove One Contact

Cause: Actions were taken from the workflow step.

Fix: Use the Enrollment History tab to manage individual contacts.

All Contacts Moved or Removed by Accident

Cause: Trash Can or Running Man icons were used from the step-level view.

Fix: Re-enroll contacts manually if required. These actions cannot be reversed.

I Don’t See the User Icon on a Step

Cause: No contacts are currently waiting in that step.

Fix: Check Enrollment History to confirm contact status.
