Ask AI - Task Scheduler runs saved prompts automatically in the background at specified time intervals. Once a task runs, the system stores the output in a dedicated run history, allowing users to review results at any time without keeping an active chat session open.
Task Frequencies
When configuring a task schedule, users can select from several frequency options:
Hourly: Runs the prompt every hour for near-real-time monitoring.
Daily: Runs once per day at a specified time and local timezone.
Weekdays: Runs Monday through Friday at a specified time.
Weekly: Runs once per week on a designated day and time.
Manual / One-time: Executes only when triggered manually or as a single run.
How to Access the Scheduled Tasks Workspace
Open Ask AI from the main navigation panel.
Click Scheduled in the left sidebar menu.
How to Set Up a Scheduled Task
Option 1: Create a Task from the Scheduled Tasks Tab
Navigate to Ask AI > Scheduled.
Click + New task.
3. Enter a Task name (e.g., "Daily Leads Summary").
4. Enter the Prompt instruction for Ask AI to execute.
5. Select the preferred schedule from the Frequency dropdown menu.
6. Click Save.
Option 2: Create a Task from Ask AI Chat
Open a new or existing Ask AI chat session.
Type a natural language command that includes both the prompt and the schedule.
Example: "Run a summary of new contacts every weekday at 9 AM."
Ask AI confirms the schedule details and automatically saves the entry to Scheduled Tasks.
Option 3: Create a Task Using Voice Mode
Activate voice mode in Ask AI.
2. Speak the schedule command clearly (e.g., "Every weekday at 9 AM, give me a summary of new contacts.")
3. Ask AI confirms the next run time verbally and saves the task to Scheduled Tasks.
Managing Existing Tasks
View Run History and Results
Navigate to Ask AI > Scheduled and select a task.
Review the chronological entries listed under History.
Click any completed run entry to open the full Ask AI session and view its output.
Status indicators in history include:
Successful: The run executed and output was stored.
Failed: The run could not complete due to errors or permission issues.
Skipped: The scheduled execution was bypassed while the task was paused.
Blue Dot / Badge: Indicates an unread result that has not yet been opened.
Execute Immediate Manual Runs
Open the target task inside the Scheduled Tasks workspace.
Click Run now.
Note: Running a task manually generates a new execution session instantly without resetting or altering the automated recurring schedule.
Pause, Edit, or Delete Tasks
Pause / Resume: Toggle the task state to pause automated runs. Skipped runs during pause are logged in history.
Edit: Modify the task name, prompt text, or execution frequency at any time.
Delete: Permanently remove the task to stop all future executions.
Overview of Active Tasks
To view all configured tasks across your workspace, navigate to Ask AI > Scheduled. All scheduled tasks will display in a card layout showing their name, execution frequency, and status.

Where do I see the results of a scheduled task?
All outputs are stored under Ask AI > Scheduled > [Task Name] > History. Clicking a run entry opens the full session tied to that execution.
Does Task Scheduler automatically email or send notifications when a task runs?
No. By default, Task Scheduler executes the prompt and stores the result in history. External notifications or emails only occur if your prompt explicitly instructs Ask AI to perform a messaging action.
Do scheduled runs count toward Ask AI usage and billing?
Yes. Each scheduled execution operates as an Ask AI session and counts toward your overall AI usage.
What happens if a scheduled run fails or is skipped?
The execution logs as Failed or Skipped inside the task history. You can inspect the log and click Run now once any underlying issue or prompt error is resolved.
Can multiple team members manage the same scheduled tasks?
Task visibility and management depend on account user permissions. Team members with access to Ask AI in that account can view and manage saved tasks.
