Who This Is For
This feature is for users who build or maintain workflows with multiple actions and triggers.
Use targeted edits when you need to:
Change the same field across several workflow actions.
Update only specific actions or triggers.
Replace message content in selected email or SMS actions.
Change pipeline or stage selections across multiple steps.
Update sender information without opening each email action individually.
Preserve every workflow step that was not included in the instruction.
How Targeted Edits Work
AI Builder uses the scope stated in your instruction to determine which workflow steps to update.
You can target:
All matching actions.
A specific number of actions.
Actions in a stated position, such as the first two actions.
Actions with a specific name.
A selected group of actions or triggers.
All matching actions except named exclusions.
AI Builder applies the requested change only to the targeted steps. Fields and workflow steps outside the stated scope remain unchanged.
How to Make a Targeted Edit
Open the workflow in the workflow builder.
Open the AI assistant in the sidebar.
Describe the exact change.
State which actions or triggers should receive the change.
Submit the instruction.
Review the AI Builder response and the updated workflow steps.
Save the affected actions and publish the workflow when ready.
A complete instruction should identify both the requested change and its scope.
Example: Set the From Name to Ryan Reynolds in all email actions.
Bulk-Edit Email Sender Information
AI Builder can update the From Name and From Email fields across multiple email actions in one instruction.
Example instructions:
Set the From Name to Ryan Reynolds in all email actions.
Change the From Email to [email protected] in emails 2 through 5.
Update the sender name in every email except the welcome email.
After the instruction is processed, verify the sender fields in the affected email actions before publishing.
Bulk-Edit Pipeline and Stage Fields
AI Builder can change pipeline and stage selections across opportunity-related workflow actions and triggers.
Example instructions:
Change the pipeline to Churn pipeline and the stage to Closed.
Update every Create Opportunity action to use the Sales pipeline.
Change the stage only in the first two matching actions.
The pipeline and stage must already be available in the account for AI Builder to select them.
Replace Copy in a Specific Action
AI Builder can replace the message content in one named or numbered email, SMS, or other messaging action.
Include the exact replacement text when the wording must remain unchanged.
Example:
Change the copy in Email 3 to: “Hey! What’s up? Long time no see. I hope you are doing good. If you have any questions, feel free to reply back to this email.”
AI Builder updates the targeted message body while leaving unrelated fields, such as the subject or sender information, unchanged unless those fields are also included in the instruction.
Apply Copy Changes to Multiple Actions
AI Builder can apply the same copy change across several email, SMS, or other messaging actions.
Example instructions:
Replace the copy in all email actions.
Use this shorter message in emails 2, 4, and 5.
Change every email except Email 1 to the copy provided below.
Update only the first two SMS actions.
When exclusions are included, AI Builder updates the selected actions and leaves excluded actions unchanged.
How to Write a Precise Instruction
A targeted-edit instruction should include three details:
The field or content to change
The new value or replacement content
The actions or triggers that should be changed
Example:
Change the From Name to Aviv in all email actions except Email 1.
This instruction identifies:
The field: From Name
The new value: Aviv
The scope: All email actions except Email 1
Avoid instructions such as “fix the emails” or “update the workflow.” These instructions do not define the requested change or its scope.
Supported Targeting Patterns
AI Builder can follow targeting instructions such as:
All email actions
Every SMS action
The first two actions
Emails 2, 4, and 5
The action named Customer Testimonials
All matching actions except Email 1
The trigger that uses the Marketing Pipeline
The Create Opportunity actions only
Use action names or action numbers when several steps use the same action type.
What AI Builder Leaves Unchanged
AI Builder should not change workflow steps or fields that are outside the stated scope.
For example, when the instruction changes only the message body in Email 3:
Other email actions remain unchanged.
The Email 3 subject remains unchanged.
The Email 3 sender information remains unchanged.
Workflow waits, conditions, triggers, and branches remain unchanged.
Include every field that must change in the instruction. AI Builder does not automatically update related fields unless they are requested.
Review Changes Before Publishing
Always review the affected actions after a targeted edit.
Confirm that:
Only the intended actions or triggers changed.
The correct field was updated.
Exact copy was preserved where required.
Merge fields remain valid.
Pipeline and stage selections are correct.
Excluded actions remain unchanged.
The workflow has no unresolved configuration warnings.
Test the workflow with sample data before publishing changes to a live automation.
Common Issues and Fixes
AI Builder changed fewer actions than expected
The instruction may not have identified all intended actions.
Use specific action names, numbers, or types. For example: Update the From Name in all five Send Email actions.
AI Builder changed the wrong matching action
Several actions may use the same action type.
Identify the action by its action name or position. For example: Change the copy only in Email 3 – Customer Testimonials.
An excluded action was updated
Restate the exclusion explicitly and identify the action by name.
Example: Apply this copy to all email actions except Email 1 – Welcome & Brand Story.
Review the affected actions before saving or publishing.
Exact message copy was not preserved
Place the replacement text directly in the instruction and state that it must be used exactly as written.
Example: Replace the Email 3 message body with the following exact copy and do not rewrite it: [message]
A pipeline or stage could not be selected
Confirm that the requested pipeline and stage exist in the account and that the stage belongs to the selected pipeline.
The workflow shows an unresolved warning
Open the affected action or trigger and complete any required fields before publishing. Targeted edits do not replace required configuration that is missing from the workflow.
