Calendar Preferences (Account vs User)

Calendar Preferences define global (account-level) and personal (user-level) settings that control how calendars and booking widgets display and behave.

Who This Is For / When to Use

Use this article if calendar views, booking widget language, time formats, or meeting locations are not behaving as expected, or if changes apply to some users but not others.

Understanding Calendar Preferences

Calendar preferences are split into two levels:

  • Account Preferences – Apply globally across the account

  • User Preferences – Apply only to the individual user

Understanding this distinction helps prevent confusion when changes do not appear everywhere.

Account Preferences

Account Preferences control default calendar and booking widget behavior for the entire account.

These settings affect:

  • Calendar display

  • Booking widget appearance

  • Default formatting options

Account Preference Options

You can configure the following:

  • Week start day – Choose which day the calendar week begins on

  • Booking widget language – Set the default language shown to visitors

  • Time format – Choose 12-hour or 24-hour format

  • Booking widget week start day – Control how weeks appear in the booking widget

Changes made here apply to all calendars unless overridden by user-level settings.

User Preferences

User Preferences control personal scheduling behavior for an individual user. These settings do not affect other users in the account.

User Preference Options

Users can configure:

  • Custom meeting locations

    • Physical address

    • Phone call

    • Zoom

    • Google Meet

    • Other integrated or custom locations

User preferences work alongside calendar and availability settings.

How Account and User Preferences Work Together

When both preference types exist:

  • Account Preferences act as the default

  • User Preferences apply only to that user

  • User Preferences do not override global formatting rules like widget language unless explicitly supported

This layered approach ensures consistency while allowing personal flexibility.

Common Scenarios

Week starts on the wrong day
Check Account Preferences for the calendar and widget week start setting.

Meeting location is incorrect
Verify the user’s custom meeting location settings.

Time format looks different for some users
Confirm whether the setting was changed at the account or user level.

Important Notes

  • Account Preferences require Account Admin permissions

  • User Preferences affect only the signed-in user

  • Preference changes apply immediately

FAQ

Why did my preference change not apply to everyone?

You may have updated a User Preference instead of an Account Preference.

Can users override account preferences?

Only specific personal settings, such as meeting location, can be customized at the user level.

Where do I change booking widget language?

Booking widget language is managed in Account Preferences.

Do preferences affect existing bookings?

No. Preferences affect display and behavior but do not modify existing appointments.
