Bulk Import and Export of Multiple Emails for Contacts

You can bulk import and export multiple email addresses per contact using the Additional Emails field in Contacts.

Who This Is For / When to Use

Use this when you need to:

  • Import contacts with more than one email address

  • Update existing contacts with additional emails

  • Export contacts including all associated email addresses


What Are Additional Emails

Each contact can have:

  • 1 Primary Email

  • Up to 10 Additional Emails

Additional Emails are stored in a single field and are supported in both import and export workflows. Here's where you can locate import and export options in the Contacts tab:


How to Import Multiple Emails for Contacts

Step 1: Start a Contact Import

  1. Go to Contacts.

  2. Click Import in the top-right menu.


Step 2: Prepare Your CSV File

Your CSV must follow these rules:

  • All additional emails must be in one column

  • Emails must be separated by:

    • Commas ,

    • Semicolons ;

    • Slashes /

Step 3: Map Fields During Import

  1. In the field-mapping screen:

    • Map the primary email column to Email

    • Map the column containing multiple emails to Additional Emails

  2. Ensure Don’t update to an empty value is checked unless you want to overwrite data.


Step 4: Complete the Import

  1. Review field mappings.

  2. Click Next and finish the import.


Import Rules and Conditions

Primary Email Behavior

  • If Email is empty and Additional Emails has values:

    • The first valid additional email becomes the primary email

Contact Matching

  • Contact uniqueness is checked using:

    • Primary Email

    • Additional Emails (if Email is selected as the matching preference)

Duplicate Handling

  • If an additional email matches multiple contacts:

    • That email is skipped

  • Existing contacts:

    • Imported emails merge with existing emails

Limits

  • Maximum 10 additional emails per contact

  • If more than 10 are provided:

    • Only the first 10 are saved

Invalid Emails

  • Invalid email addresses are automatically discarded

  • Only valid emails are retained


How to Export Contacts with Additional Emails

Step 1: Start Export

  1. Go to Contacts.

  2. Click the three-dot menu.

  3. Select Export.


Step 2: Select Email Columns

  1. Choose a Smart List or filter contacts.

  2. Ensure Email is selected as a column.

Step 3: Download CSV

  • The exported file will include:

    • Email (primary)

    • Additional Email column

  • All additional emails appear:

    • In one column

    • Separated by commas ,


Common Issues and Fixes

Additional emails not importing

  • Confirm emails are in one column

  • Verify separators are valid (, ; /)

Primary email missing after import

  • Check if the Email column was empty

  • The system promotes the first valid additional email automatically

Fewer emails imported than expected

  • Ensure no more than 10 additional emails

  • Remove invalid email formats
