Use this trigger when you want automation to respond to opportunity movement, such as:

What the Pipeline Stage Changed Trigger Does

When a contact’s opportunity changes stages:

  • The contact is added to any workflow using the Pipeline Stage Changed trigger

  • Filters control which pipeline, which stage, and which contacts qualify

Important

  • This trigger fires each time the selected stage condition is met

  • Pipelines must already exist in your account

Step 1: Create or Open a Workflow

  1. Go to Automations > Workflows.

  2. Click Create Workflow, or open an existing workflow to edit.

Step 2: Add the Pipeline Stage Changed Trigger

  1. In the workflow canvas, click Add New Trigger.

In the trigger selector:

  • Search for Pipeline

  • Select Pipeline Stage Changed under Opportunities

Step 3: Configure the Trigger

Confirm Trigger Type

  • Ensure Pipeline Stage Changed is selected under Choose a Workflow Trigger.

Rename the Trigger (Optional)

  • Update the Workflow Trigger Name if needed.

  • This name is internal only and does not affect behavior or visibility.

Step 4: Add Filters (Strongly Recommended)

Filters control when the trigger fires and which opportunities qualify.

Tag Filter (Optional)

  • Has Tag

    • Only contacts with the selected tag are enrolled.

Pipeline and Stage Filters

  • In pipeline

    • Limits triggering to a specific pipeline.

  • Pipeline stage

    • Appears after selecting In pipeline

    • Triggers the workflow when an opportunity enters the selected stage.

Lost Reason Filter (Optional)

  • Lost Reason

    • Allows workflows to trigger only when an opportunity moves stages with a specific loss reason

    • Useful for targeted follow-ups, reporting, and sales optimization

Click Save Trigger.

Step 5: Add Workflow Actions

After the trigger, add any actions you need, including:

  • Send internal notifications

  • Create follow-up tasks

  • Update opportunity or contact fields

  • Apply or remove tags

  • Send emails to contacts

  • Enroll contacts in additional workflows

You may also leave the workflow without actions if the trigger is being used for tracking or testing.

Step 6: Save, Test, and Publish

  1. Click Save in the top-right corner.

  2. Use Test Workflow to validate trigger behavior.

  3. Toggle Publish to activate the workflow.

Common Issues and Fixes

Workflow does not trigger

  • Confirm the workflow is Published

  • Verify the opportunity moved into the selected pipeline stage

  • Check that pipeline and stage filters match exactly

Workflow triggers unexpectedly

  • Narrow filters by pipeline, stage, tag, or lost reason

  • Confirm multiple stage transitions are not occurring

Workflow triggers multiple times

  • This is expected behavior if a contact moves into the same stage more than once

  • Use conditions or cooldown logic in actions if needed
