How to Validate a Contact’s Email

Email validation checks whether a contact’s email address can safely receive messages, helping reduce bounces and protect your sending reputation.

Who This Is For / When to Use

Use email validation when adding new contacts, cleaning an existing list, or before sending emails to ensure addresses are valid and deliverable.


How Email Validation Works

  • Email addresses are automatically validated before an email is sent if they have not been validated before.

  • Each validation is valid for 90 days.

  • Before sending, Kyrios Systems checks the last validation date.

  • If the validation is older than 90 days, the email is re-validated automatically.

  • You can also manually re-validate an email at any time.


How to Validate a Contact’s Email

  1. Go to CRM from the left-hand menu.

  2. Open Contacts.

  3. Search for and select the contact.

  4. Scroll down to the Email field on the contact record.

  5. Click the envelope icon next to the email address to validate or re-validate.


Understanding Email Validation Status

You will see a status indicator next to the email field:

  • Green (Verified)
    The email address is valid and safe to send to.

  • Red (Invalid or Bounced)
    The email is invalid or has previously bounced.
    The error message explains why the email failed validation.

If an email was validated more than 90 days ago, you will see an option to Re-Verify.

Email validation confirms that:

  • The email address syntax is correct.

  • The domain is configured to receive email.

  • The email address exists.

  • The email is not flagged as high-risk.

  • The email is not role-based (for example, [email protected] or [email protected]).

  • It has been a long time since your last validation.

  • You want to proactively reduce bounce rates before a campaign.

Can I re-validate an email after 90 days?

Yes. If an email was validated more than 90 days ago, Kyrios Systems will prompt re-validation before sending, or you can manually re-verify it.


Does email validation confirm consent?

No. Validation only checks if an email address exists and can receive messages. You are still responsible for ensuring proper opt-in and permission.


How does email validation affect deliverability?

High bounce rates damage your sender reputation. Validating emails reduces bounces, which helps inbox placement and prevents emails from being marked as spam or blocked entirely.


Common Issues and Fixes

Email shows as invalid

  • Review the error message for details.

  • Update the email address if it contains a typo.

  • Ask the contact to confirm their correct email address.

Email was previously valid but now fails

  • Re-validate the email.

  • Check whether the domain or mailbox still exists.
