Who This Is For / When to Use
This article is for Kyrios users who send emails through Workflows and need to control the sender identity for branding, deliverability, or departmental routing.
Use this when emails should appear to come from a specific person, role, or inbox instead of the default business email.
How From Email Address Works in Kyrios Workflows
Kyrios allows the sender name and email address to be defined at the workflow level or overridden at the individual Send Email action level.
If both are configured, the Send Email action settings take priority over the workflow settings.
If no custom sender is set and the contact is unassigned, Kyrios uses the Business Email from the Business Profile as the fallback sender.
Option 1: Set a Default From Name and From Email in Workflow Settings
Setting sender details in workflow settings applies the same From Name and From Email to every email action unless overridden later.
Steps
Go to Automation → Workflows.
Create a new workflow or open an existing one.
Select Settings at the top of the workflow builder.
Scroll to Sender Details.
Enter values for From Name and From Email.
Save the workflow.
Option 2: Override the From Email Address in a Send Email Action
Each Send Email action can define its own sender information, overriding the workflow-level defaults.
Steps
Open the workflow builder.
Click the + icon to add an action.
Select Send Email.
Enter a From Name and From Email in the Email action settings.
Configure the email subject and content.
Click Save Action.
Using Custom Values in the From Email Field
Kyrios supports custom values in the From Name and From Email fields to dynamically assign the sender.
Common use cases include sending emails from the assigned user, a department inbox, or another CRM-based value.
Example use cases:
Assigned user email
Sales team inbox
Support department inbox
Fallback Sender Logic
When sender fields are empty, Kyrios determines the From Email automatically.
What Happens
If the contact is assigned to a user, Kyrios uses the assigned user’s email.
If the contact is not assigned, Kyrios uses the Business Email from the Business Profile.
This ensures emails are always sent with a valid sender address.
Deliverability and Domain Requirements
The domain used in the From Email address must match the dedicated sending domain configured in Email Services.
Using a mismatched domain increases the risk of emails being filtered or sent to spam.
Best Practice
Always configure and verify your dedicated sending domain before using custom From Email addresses.
