What Notes Do in Workflows

Notes provide non-executing documentation inside workflows, helping teams understand why a workflow exists, how actions should behave, and what changes have been made over time.

Where to Access Notes and Sticky Notes

All note-related tools are accessed from the workflow builder sidebar.

  • Click the Notes icon to open Workflow Notes and Action Notes.

  • Click the Sticky Notes icon to add visual notes to the canvas.

Workflow-Level Notes

Workflow-Level Notes apply to the entire workflow and provide high-level context for all users.

Workflow-Level Notes are visible to all users with access to the workflow and are best used for descriptions, objectives, or global instructions.

How to Add Workflow-Level Notes

  1. Open a workflow in the builder.

  2. Click the Notes icon in the sidebar.

  3. Enter the workflow description or instructions.

  4. Save the workflow to preserve the note.

Each note displays who created it and who last edited it.

Action-Level Notes

Action-Level Notes attach directly to individual workflow actions to explain purpose or configuration.

Action-Level Notes are ideal for documenting why a specific action exists or how it should be modified in the future.

How to Add Action-Level Notes

  1. Hover over an action in the workflow.

  2. Click the Notes icon on the action card.

  3. Enter the note content.

  4. Click Add to save the note.

Once added, the Notes icon remains visible on the action.

Sticky Notes

Sticky Notes are free-floating visual notes placed directly on the workflow canvas.

Sticky Notes are best used for reminders, onboarding guidance, or visually grouping workflow sections.

How to Use Sticky Notes

  1. Click the Sticky Notes icon in the sidebar.

  2. Select a color to create a note.

  3. Enter text using the rich text editor.

  4. Drag the note anywhere on the canvas.

Sticky Notes do not affect workflow execution.

Hide or Show Sticky Notes

Sticky Notes visibility can be toggled without deleting notes.

  • Click Hide Notes to remove Sticky Notes from view.

  • Click the Sticky Notes icon again to show them.

Rich Text Editor for Notes

All notes support rich text formatting for clarity and emphasis.

Available formatting includes:

  • Bold, italic, underline, and strikethrough

  • Headings and font size controls

  • Bullet and numbered lists

  • Hyperlinks
