How to Allow or Prevent Duplicate Contacts

You can control whether Kyrios allows duplicate contacts and define how duplicates are detected using email and/or phone number.

Who This Is For / When to Use

Use this when you want to prevent duplicate contacts from being created during manual entry or imports, or when you need to allow duplicates intentionally.


Where to Find Contact Deduplication Settings

Navigate to:

Settings → Business Profile → Contact Deduplication Preferences

This area controls how your account handles duplicate contact records.


Allow Duplicate Contacts

What This Setting Does

  • When Allow Duplicate Contact is ON, Kyrios allows multiple contacts with the same identifying information.

  • When Allow Duplicate Contact is OFF, Kyrios checks for existing contacts before creating a new one.

Important Import Limitation

  • Bulk imports will fail if “Allow Duplicate Contact” is ON.

  • To import contacts successfully, this toggle must be OFF.


Prevent Duplicate Contacts (Recommended)

When Allow Duplicate Contact is turned OFF, you can control how Kyrios detects duplicates.

Primary Duplicate Identifier

Choose how Kyrios should first look for an existing contact:

  • Email

  • Phone

Secondary Duplicate Identifier (Optional)

Add a second field for confirmation:

  • Email

  • Phone

Kyrios will check the primary field first, then confirm using the secondary field if selected.


How Duplicate Detection Works

  • If a matching contact is found based on your selected criteria, Kyrios updates the existing contact instead of creating a new one.

  • If no match is found, a new contact is created.

  • Contacts with the same name but different email or phone values are treated as separate contacts.


Common Issues and Fixes

  • Bulk import fails

    • Ensure Allow Duplicate Contact is turned OFF before importing.

  • Duplicates still being created

    • Confirm the correct primary and secondary identifiers are selected.

    • Ensure imported contacts contain valid email or phone values.

  • Need to clean existing duplicates

    • Export contacts, remove duplicates externally, and re-import the cleaned list.
