Use this trigger when you want workflows to respond to internal activity, such as:
Alerting team members when notes are added
Logging internal follow-up actions
Triggering automation after sales or support notes
Applying tags or updates based on manual contact notes
What the Note Added Trigger Does
When a user adds a new note to a contact:
The contact is immediately enrolled into any workflow using the Note Added trigger
Filters (if configured) determine whether the contact is allowed into the workflow
The trigger fires once per note added.
Step 1: Create or Open a Workflow
Go to Automations > Workflows.
Click Create Workflow, or open an existing workflow to edit.
Step 2: Add the Note Added Trigger
In the workflow canvas, click Add New Trigger.
In the trigger selector:
Search for Note
Select Note Added under the Contact section
Step 3: Configure the Trigger
Confirm Trigger Type
Ensure Note Added is selected in Choose a Workflow Trigger.
Rename the Trigger (Optional)
Edit the Workflow Trigger Name field if needed.
This name is internal only and does not affect trigger behavior or visibility.
Step 4: Add Filters (Optional)
Filters restrict which contacts can be added to the workflow after a note is created.
Click Add filters.
Available Filter Options
Tag-Based Filters
Has Tag
Only contacts with the selected tag are enrolled.
Doesn’t Have Tag
All contacts are enrolled except those with the selected tag.
Important
Using both Has Tag and Doesn’t Have Tag together can conflict and block enrollment.
Use one or the other, not both.
Custom Field Filters
Restrict enrollment to contacts with specific custom field values.
Custom fields must already exist in your account.
Click Save Trigger.
Step 5: Add Workflow Actions
After the trigger, you may add any workflow actions, including:
Send Email
Send SMS
Add or Remove Tag
Update Contact Fields
Notify Team Members
Enroll in Another Workflow
You may also leave the workflow without actions if the trigger is being used only for tracking or logging.
Step 6: Save, Test, and Publish
Click Save in the top-right corner.
Use Test Workflow to confirm the trigger fires correctly.
Toggle Publish to activate the workflow.
Common Issues and Fixes
Workflow does not trigger
Confirm the workflow is Published.
Verify the note was manually added, not imported.
Check that filters are not excluding the contact.
Workflow triggers for unintended contacts
Review tag and custom field filters.
Remove conflicting filter combinations.
Trigger fires multiple times
This is expected behavior.
The trigger activates each time a new note is added.
