Why Isn’t the Bot Responding?

This article explains the most common reasons a Kyrios Bot does not respond and how to restore bot activity by checking tags, bot status settings, required fields, and calendar availability.

Who This Is For / When to Use

Use this guide when a Booking Bot or AI Bot stops responding to messages, fails to reply during testing, or does not trigger when expected for a specific contact.

Check for Tags That Disable the Bot

Certain tags automatically prevent the bot from responding. If these tags are present, the bot is intentionally paused.

If the alert user tag is applied:

  • The AI Bot will not respond.

  • Remove the alert user tag from the contact to immediately re-enable the bot.

If the stop bot tag is applied:

  • The bot has been manually disabled for that contact.

  • The Bot Status must be turned back on (see next section).

Confirm the Bot Status Is Enabled

The bot will not respond unless the Bot Status is explicitly set to Bot in the Booking Bot section of the contact record.

To verify Bot Status:

  1. Open the affected contact record.

  2. Expand the Booking Bot section.

  3. Locate Bot Status.

  4. Set the value to Bot.

  5. Save the contact record.

If the status is set to anything other than Bot, responses are suppressed.

Verify Required Booking Bot Fields Are Populated

The Booking Bot requires specific fields to be populated in order to function. If any required field is blank, the bot will fail silently.

Confirm the following fields are filled:

  • Prompt (or OpenAI Prompt)

  • Calendar ID

  • Intro Message

If any of these fields are empty:

  • The corresponding Custom Value must be updated in Settings > Custom Values.

  • Once populated, return to the contact and re-test the bot.

Check Calendar Availability

The Booking Bot can only respond successfully if the connected calendar has available time slots.

If no availability exists:

  • The bot will fail when attempting to book or suggest times.

To resolve this:

  1. Navigate to the connected booking calendar.

  2. Confirm open and available time slots exist.

  3. Update calendar settings or calendar integrations if needed.

  4. Re-test the bot once availability is restored.

Common Issues and Fixes

Bot suddenly stopped responding
Check for the alert user or stop bot tag on the contact.

Bot responds to some contacts but not others
Verify Bot Status and required fields for the specific contact.

Bot fails during booking
Confirm the calendar has available time slots and the correct Calendar ID is set.
